A. Call to Order

The meeting was called to order at 9:03 a.m.

C. Approval of Notes from 7-14-2020

Then notes from the 7-14-2020 meeting were approved as presented.

D. Superintendent Search Planning

Ms. Vadla explained how the documents attached pertain to the committee.

E. Overview of the RFP Process

Mr. Crabtree discussed BP 3111 and AR 3111and how they pertain to same content matter, but do not match exactly. BP 3311 is the one that will apply. Ms. Hayes joined Mr. Crabtree to discuss the RFP process. She noted that we can start with an informal request for a quote process. If bids come back higher than the $50,000, an official bid process may be used. If we are certain that we are not going to spend over $50,000 then we should go out for quotes, if the bulk or all come back at less than $50,000 we can proceed without following BP 3311.. Ms. Hayes explained that the quote will be formal, with the minimum of three respondents. Based on the requirements of a formal quote. There is no maximum allowed respondents, however an end date bay be defined based on the decided timeline. The standard timeline is not normal for a quote. Mr. Crabtree referenced the two attached documents. Language in AR 3311 speaks to Bid Award. Ms. Burly asked if we could do a hybrid, which is the request for information, making it closer to an RFP where you get to use other criteria including scoring value or questions that you can score. Quotes could be reviewed by the committee.

G. Superintendent Qualities and Characteristics

In the past search the Community Survey was sent electronically and could be printed and returned. It was suggested to change dates, add bullets about changing modified schedules, safety and sanitation concerns.

The Search Brochure was developed after the last committee met with AASB. Some felt that they should also consider a video.. There is a need to update the district profile.

Mr. Crabtree discussed whether the candidate should hold or need to obtain the Superintendent endorsement. He doesn't have a strong feeling on the endorsement, he has concerns about onboarding someone new and asking them to add the endorsement on an 80 hour a week job. Mr. Crabtree noted that the administrative credential is to allow them to evaluate administrators. The type B certification could be called something else in another state.

H. Timeline of Superintendent Hiring Process

Mr. Crabtree will update his documents with the committee suggestions and bring them back to the committee at the next meeting. With the pandemic, three weeks may be a reasonable time change. Then we can come back in time to make a recommendation for the September board meeting.
Mr. Crabtree will make a recommendation for BP 2121 and AR 2121 Superintendent Contract to simply negotiations with the school board without complications.
