    This information serves as a yearend update for the Board regarding the District’s progress on the preapproval and tracking of the smaller competitive grant application efforts of staff members.   

    In 2016-17 there were 71 applications reviewed and approved for submitting which requested over $213,975 for FY17. In 2015-16 there were 61 applications reviewed for submitting which requested over $156,000 for FY 16. In 2014-15 there 55 applications reviewed. In 2013-14 there were 46 applications reviewed.   In 2012-13 there were 36 applications reviewed.

    Prior to 2010 the District struggled with tracking competitive grant applications and grant awards applied for by individual teachers. Many times, district office would receive grant awards without knowing which school applied for the funds, which teacher applied, or what the intended uses for the funds were.

    During the 2010-11 school year a paper pre-approval form was created for all applicants to submit to district for prior approval. This did not allow for a simple way to pre approve for the teachers or a simple way to compile and search preapprovals. During the 2013-14 school year this form became a fill-able online document with online submission. 2015-16 a google doc was created to house all application submissions. This allowed finance to search the google doc if funds showed up with little indication which school or teacher applied for them. This also allowed us to simply sum the column of the grant funds requested. Last fall was the first year we provided this information to the school board and it included a total of the grant funds won/awarded. Due to staffing reductions and redistribution of tasks the tracking of the awards received did not get accomplished 2016-17. District is working to improve the online preapproval form to include a more automated way to track the received awards.

    On occasion we still find a few applications/awards we were not aware of but are continuing to train staff to use the preapproval form for any grant application efforts including funding efforts like Go Fund Me and Donors Choose.

    Attached is the Online Proposed Grant application form and an excel version of the record of applications: which school, which teacher, which grant opportunity, funds requested, and brief description of what funds would be used for.
